Access Visibility Issue (Reports/Modules): User X vs. User Y

Created by Ann Quinto, Modified on Fri, 12 Sep at 4:08 PM by Shelley Cox

Description: This article addresses issues where a user cannot see a specific report, document, or module, while another user can. This often indicates a discrepancy in role assignments or permissions.

Step-by-Step Process: User Role and Report/Module Visibility Investigation

  1. Identify the specific report/document/module: Determine the exact name of the item User X cannot see and its typical location or access method.
  2. Verify User Y's access and role: Find out User Y's roles and permissions that allow them to see the item, and confirm how they access it.
  3. Check User X''s role assignments: Review User X's current roles and compare them to User Y''s roles to identify discrepancies.

  1. Review System Configuration for Report/Module Visibility:
    • For reports: Access Cogwheel > Reports Manager > Look for the report you are trying to run. See example below:

    • For modules/documents: Examine access controls and permissions tied to roles, and check if the item is linked to misconfigured "templates."

  1. Troubleshooting and Resolution:
    • If a report issue: Investigate why the correct template or report isn't being picked up, check for missing or wrong configurations, and consider if it's a "publishing issue."
    • If a general access issue: Adjust User X's role assignments, ensure necessary permissions for JAVLN MFA or new laptop setups, as applicable.

  1. Test the resolution: Have User X try to access the item again to confirm the issue is resolved.
